Privacy Policy

Last Updated: November 7, 2025

Your privacy isn't just a policy here—it's a promise. We handle your data like we handle your case: with care, confidentiality, and complete transparency.

Shadow Rath Nexus Legal Services operates out of Toronto, ON, and we're serious about keeping your information locked down tight. This policy explains how we collect, use, and protect your personal data when you interact with us—whether that's through our website, phone calls, emails, or face-to-face meetings.

Look, we get it. Privacy policies can be drier than a courtroom transcript. But this stuff matters, especially when you're dealing with legal issues. We've tried to keep it straightforward without all the legal mumbo-jumbo (ironic, we know).

This policy applies to all services we offer, including Criminal Defense, Civil Litigation, Corporate Law, Family Law, Immigration matters, and Personal Injury claims.

Personal Identification Information

When you reach out to us, we'll need basic stuff like your name, address, phone number, email, and date of birth. If we're representing you, we'll also need things like SIN numbers, employment details, financial records—basically whatever's relevant to your case.

Case-Related Information

This includes details about your legal matter, court documents, correspondence with opposing parties, witness statements, and any evidence related to your situation. Yeah, it can get pretty detailed, but that's how we build strong cases.

Website Usage Data

Our website collects technical data like IP addresses, browser types, pages you visit, and how long you hang around. We use cookies and similar tech to make the site work better. You can disable cookies in your browser, but some features might not work as smoothly.

Communication Records

We keep records of all our communications with you—emails, phone calls, meeting notes, the works. It's part of maintaining a proper attorney-client relationship and making sure we don't miss anything important.

We're not in the business of selling your data or using it for anything shady. Here's what we actually do with it:

  • Legal Representation: Providing you with competent legal services, preparing documents, representing you in court, negotiating settlements—all the stuff you hired us for.
  • Communication: Keeping you updated on your case, responding to your questions, scheduling meetings, and sending important deadlines.
  • Billing & Accounting: Invoicing for our services, processing payments, maintaining financial records as required by law.
  • Legal Obligations: Complying with court orders, regulatory requirements, and our professional duties under the Law Society of Ontario rules.
  • Service Improvement: Analyzing how clients use our website and services so we can make things better. This is always done in aggregate form—we're not tracking individuals.
  • Marketing Communications: Sending newsletters or updates about legal developments that might affect you. You can opt out anytime—no hard feelings.

Security isn't just a checkbox for us—it's baked into everything we do. Here's how we keep your information safe:

  • Encryption: All data transmitted through our website uses SSL encryption. Our email communications are encrypted, and sensitive documents are stored in encrypted databases.
  • Access Controls: Only authorized staff who need access to your information for your case can see it. Everyone on our team signs confidentiality agreements.
  • Physical Security: Our offices at 1250 Bay Street have controlled access, alarm systems, and secure document storage. Paper files are locked up when not in use.
  • Regular Audits: We regularly review our security practices and update them as new threats emerge. Tech changes fast, and we try to stay ahead of it.
  • Secure Disposal: When we no longer need to keep documents, we shred physical papers and securely wipe digital files. Nothing ends up in a regular trash can.

That said, no system is 100% bulletproof. If there's ever a data breach that affects you, we'll let you know right away and tell you what we're doing about it.

We don't hand out your information like candy on Halloween. But sometimes we need to share it to do our job properly:

  • Courts & Legal Authorities: When we file documents or represent you in proceedings, certain information becomes part of the public record. That's just how the legal system works.
  • Opposing Counsel: In litigation or negotiations, we share relevant information with the other side as required by law and legal procedures.
  • Expert Witnesses & Consultants: Sometimes we bring in specialists—accountants, medical experts, investigators—who need case details to help us build your defense or claim.
  • Service Providers: We use trusted third-party services for things like cloud storage, billing software, and document management. They're all bound by confidentiality agreements.
  • With Your Consent: If you ask us to share info with someone—like your accountant or family member—we'll do that. Just let us know in writing.
  • Legal Requirements: If we're legally required to disclose information (like in response to a subpoena), we'll do so, but we'll try to notify you first unless we're prohibited from doing so.

We're required by the Law Society of Ontario to keep client files for a minimum period, even after your case is closed. Generally, that's at least 10 years from the last service we provided, but it can be longer depending on the type of case.

For criminal matters, we often keep files indefinitely because appeals can happen years later. For corporate matters, we align retention with business statute limitations. Family law files stick around because modifications to agreements can come up down the road.

If you want your file destroyed after the mandatory retention period, just send us a written request. We'll handle it securely and give you confirmation.

Under Canadian privacy laws (specifically PIPEDA and provincial equivalents), you've got rights when it comes to your personal information:

  • Access: You can request a copy of the personal information we hold about you. We'll provide it within 30 days, though we might charge a reasonable fee for extensive requests.
  • Correction: If any information we have is wrong or outdated, let us know and we'll fix it. Accurate records are important to us too.
  • Withdrawal of Consent: You can withdraw consent for certain uses of your data, like marketing emails. Just know that we can't withdraw consent for stuff that's essential to providing legal services.
  • Complaints: If you think we've mishandled your information, tell us first so we can make it right. If you're still not satisfied, you can file a complaint with the Office of the Privacy Commissioner of Canada.

To exercise any of these rights, shoot us an email at info@shadowrathnexus.info or call (416) 555-7284. We'll need to verify your identity first—can't just hand out client info to anyone who asks.

Our website uses cookies—small text files stored on your device—to make things work better. Here's what we use them for:

  • Essential Cookies: These keep the site functioning properly. They remember your session so you don't have to re-enter info on every page.
  • Analytics Cookies: We use these to understand how visitors use our site—which pages are popular, where people are coming from, that kind of thing. It's aggregated data, not personal tracking.
  • Preference Cookies: These remember your choices, like language settings or accessibility preferences.

You can control cookies through your browser settings. Most browsers let you block or delete cookies, though some parts of our site might not work as well if you do.

We don't use third-party advertising cookies or sell your browsing data to advertisers. That's not our game.

Sometimes our website links to external resources—court websites, legal databases, government agencies, etc. Once you click through to those sites, our privacy policy doesn't apply anymore. They've got their own policies and practices.

We try to only link to reputable sources, but we can't control what they do with your data. Read their privacy policies if you're concerned.

We're based in Canada and primarily serve Canadian clients, so your data generally stays within Canadian borders. However, some of our service providers (like cloud storage or email platforms) might have servers in other countries, including the United States.

When that happens, your information is subject to the laws of those countries. We only work with providers who maintain strong privacy protections and comply with applicable data transfer regulations.

If you've got concerns about international transfers, especially for sensitive cases, let us know. We can discuss alternative arrangements.

While we're a Canadian firm, we respect international privacy standards including the EU's GDPR. If you're in the EU or another jurisdiction with strong privacy laws, you've got additional rights:

  • The right to be forgotten (erasure of your data, subject to legal retention requirements)
  • Data portability (receiving your data in a common format)
  • Objection to automated decision-making (not that we do much of that anyway)
  • More stringent consent requirements for certain data processing

We try to extend these protections to all our clients regardless of where they're located. It's just good practice.

Privacy laws evolve, technology changes, and our practices might need to adapt. When we update this policy, we'll post the new version here with an updated "Last Modified" date at the top.

For significant changes—like major shifts in how we use or share data—we'll notify active clients directly via email or through our client portal. We won't make material changes that reduce your rights without giving you proper notice.

It's worth checking back here occasionally, especially if you haven't worked with us in a while.

Got questions about how we handle your information? Want to exercise your privacy rights? Just concerned about something and want to talk it through? We're here for it.
